eBay auto emails : what your buyers will see (it ain't pretty)
9/11/2009 at 23:08
As a few eBay UK sellers have already noticed, some new emails are being sent out to buyers.
Buyers will now receive the following mail automatically:
• an order confirmation email when an item is paid for.
• an “order update” whenever a seller prints a shipping label, adds a tracking number* or marks an item as dispatched.
• a payment reminder 48 hours after the item was purchased if it is not marked as paid.
(* Or so eBay say – I can’t currently find a way to add a tracking number in eBay itself, so presumably this is a feature that’s coming soon – but if anyone knows different, please leave us a comment!)
The emails cannot be turned off, though sellers subscribed to SMP can add their own message to the bottom of the emails. It’s tempting to recommend the addition of an apology for the terrible spelling and grammar, for this is the worst set of emails I’ve seen in a long time:
There are a few pitfalls sellers need to be aware of too: firstly, that crazy 48 hour payment window. If you take cheques or typically have buyers spending a few days putting larger orders together, warn them in advance that eBay will be sending this mail and you can’t stop it. There’s nothing worse as a buyer than being hassled for payment when you’re still shopping, and this eBay email is the online equivalent of the pushy assistant following you round the shop.
Secondly, if you already had customised dispatch emails in SMP, these have been deleted. If you had information about how to track an order, which couriers you use or how long delivery should take, that information is gone, and you’ll need to add it again.
Thirdly, these emails communicate nothing useful and so, at worst, are just going to confuse your buyers. Do you think a newbie buyer will know how to “track your order at the order detail page in My eBay”? No, me neither.
Finally, if you take payments outside eBay’s checkout and don’t mark items paid for in My eBay or SMP currently, you need to start doing so, or your buyers will continue to get reminders about them even after they’ve been paid for. Of course, if you’ve got three months of orders in SMP that now need to be marked paid, it looks like three months’ worth of “order updates” will be sent out, so you’ll most likely have a confused buyer or two to deal with anyway.
It’s almost impossible to know where to start criticising this system. If you’re managing your eBay orders off-eBay – and not bothering to mark as paid on-eBay because that’s being dealt with elsewhere – that will probably need to change: I certainly don’t want my buyers getting reminders for items they paid for two days ago (note that you can’t add your own text to this email – so telling your buyers “ignore the above” isn’t even an option). Insisting that “mother knows best” and not allowing sellers to turn these emails off is ridiculous.
But the badly written and essentially useless content of the email is the biggest insult of all. There’s no useful information in these emails: buyers will rapidly come to recognise them as auto-generated, and ignore them. Sellers will feel forced to send their own, useful communications… and all that eBay have done is add two or three pointless emails to every transaction.
Dear eBay, we know you want to be Amazon. We know this is you trying to own the transactions… but you’ve got it wrong. Let us opt in and out of the mails: we know our buyers better than you do. And please, let us edit ALL the text – otherwise you know, you just know that some of us are going to use that “add your own message” space to apologise to our buyers for the nonsense you’ve just sent them. And that will make us all look stupid.

Exactly. Let’s not forget the ultimate insult, either.
The sellers, not eBay, are going to be taking the hits on their ‘communication’ DSRs for this garbage.

The ability to add tracking is available on .com. I’ve used it from the Selling Manager page where you mark items shipped. No idea if .co.uk is any different though.

I have been getting a little experience of these both as buyer and as seller.
The payment reminders are going out pretty much at the speed of light.
The missing word in the main text and the typos in the small print have been sorted.
If you have not paid for a 40 item combined invoice you will get 40 reminders to pay. (Extrapolating from an order with 3 items).
The order update emails seem very hit and miss. They have only gone out from me where the buyer has checked out and will pay by ‘check’. (the spelling used in the email). I only received an update email when I bought and completed checkout to pay by cheque, no email when I checked out with PayPal.
The order update seems totally unnecessary if you have automatic feedback on payment set in SMP.
The despatch emails seem to be going out but with delays of up to 24 hours. Useless if you put important information in the custom message. The goods could well arrive before the email.
The emails are recorded in the ‘email log’ but are not copied to the seller. Again useless if information pertinent to the supply has been included and a record is needed.
I think that I can live with the latter 2 emails if the timing can be more or less instant.
I cannot live with payment reminders going out for every item on a combined invoice.
Just how stupid does eBay want to look?

Shame they haven’t bothered to update their own screenshots then
Even if they’ve sorted the missing word and the typos, they’re still horribly written, and pointless. I stick with what I wrote.

I don’t understand the silence then, a thread on PS board has been running for a week about it, Patrick has posted on TameBay today.
If they have fixed the typos and spelling why can’t I see it in my SMP previews and why hasn’t someone from eBay just said ‘it’s ok folks weve changed it and it’s now correct, some of you may see the old one bla bla bla’
Sue Bailey says
12:25 pm on November 10th, 2009
Merely fixing the spelling is not going to get over the fact that these are HORRIBLY written emails. The language itself is poor, the concepts are useless, and whoever wrote them seems to have the idea that if you begin a sentence with “thank you”, you should always end it with an exclamation mark.

I’ve tried buying but I’ve not had the new despatch email sent to me yet.
I’m desperately trying not to screw some seller by buying something and then not paying for a few days to see what happens. I don’t like it when buyers pay me late and it just doesn’t seem right (unless someone has something to really really tempt me and doesn’t want paying fast…
JD says

As an update, I have just had my first ‘despatch email’.
There is a typo in the text (that wasn’t in the SMP sample preview):
Hello xxxxxxxx,
Thanks for shopping on eBay. To help you track of your purchases, we’re sending you this order update. You can also keep track of all your purchases in My eBay.
Would also benefit from a space between sentences 2/3.
It was an order for 3 items with combined (discounted) p/p.
There is no mention of this in the email and the full p/p amounts are shown against each item.
The sellers customised message was delivered in full and provided proper information. Non SMP subscribers are at an unfair disadvantage.
Still need that opt out for the payment reminder.
If eBay was a pub, not many peeps would drink there…….
……..unless of course it was the only pub.

“Secondly, if you already had customised dispatch emails in SMP, these have been deleted”.
Mine haven’t. So, when will they be deleted? What about the rest of the custom email templates? Will those be deleted too?
The biggest question is why have ebay changed this? When there is already so much wrong with the site, this kind of thing was most definatley the last of a long list of “to do”‘s.
With regard to the “track your order at the order detail page in My eBay”, buyers used to be able to mouse-over the dispatched icon on items won page and the dispatch date would appear. That little gem disappeared as fast and as silently as it came. Maybe it will be coming back. I hope so, saves me repeating dispatch emails 25 times a day as ebay doesn’t seem to deliver many of those.

Chris, did you raise this with ebay when you had lunch with them yesterday and was there any comment on this?

Chris, I disgaree completely that it’s none of my business. If you did have lunch or a meeting with anyone from ebay why shouldn’t I ask what whether these appalling emails were raised and what the response is? Or was the meeting just to talk over PR for ebay?
If you didn’t have lunch or meet anyone is Jenny Thomas making up that she saw you yesterday then? http://twitter.com/jennythomas25/status/5564971816

Thanks Chris – I enjoyed meeting you and thanks for lunch too.
Jimbo — there are still a few trading assistants around. We keep an eye on the space — we’re pretty relaxed about competition and have a friendly relationship with other TAs that we know. Looking around I’d have said there are fewer professionals out there than, say, 18 months ago when A4U closed.
AuctionPeople have been around for a little while but have recently grown sharply, and whilst they are still showing quarterly GMV below £3k, I’d expect them to double or triple that if they can keep getting good stuff in.
We hope they can make a go of it, and hope to meet them if they want to get in touch.

The 48hr reminder is really going to hurt sales in those categories where the buyers prefer to assemble multi item orders (collectables, craft, hobby, etc). I’ve already had to write to some customers explaining and apologising for the eBay reminders.
It’s madness.

Yesterday the order tracking field was directly under the “Posted on date” of the sales record in SMP. Mysteriously it has disappeared today! I know I’m not going mad, because in the office yesterday, we discussed what a useful feature we thought it was.We went on to add several tracking numbers to our orders yesterday and they are still displaying today, BUT the field has now been removed from yet to be dispatched orders. Did we get a communication over this? (misspelled or not!)

Whirly they tried it – it was called ebay express and it failed. Everyone seems to forget that.
Buyers don’t like buying from multiple sellers all at once in the same basket with massive postage to go with it. There’s no room for combined shipping for obvious reasons. The only way that is ever going to work is if free shipping is compulsory across the site.

What a joke, yet another disaster foisted apon us by the Ho and his corporate cronies,(he really is a moron) by the way if you take a really good look at Ebay’s OWN ToS, they are violating by sending out these notifications.. they CLEARLY state they do NOT interfere in the auction process as it is between the seller and the buyer exclusively… OH really now….so what do you call this newest interferrance
I’m also curious as to why the shareholders who surely MUST see all the negative impact, the vastly reduced sellers, the vanishing buyers etc ad infinitum are NOT baying for the Ho’s blood. The mind boggles.
